Enter and pay bills in QuickBooks. • Maintain a logbook for the servicing for vehicles and equipment • Answered multi-line phone system by the third ring and transferred callers to the appropriate department or staff member. • Create a welcoming environment for customers by greeting and assisting, as well as quickly responding to customer inquiries and needs. • Carry out tasks in support of the production and distribution of reports, such as photocopying, collating, etc. • Assist in the procurement of office supplies, sundries, and stationery. • Maintain a logbook for the booking of the conference room and training room facilities. Prepare a schedule for Janitor for room set up and corresponding information for billing of clients for conference room and training room rentals. • Assist in the organization of staff activities. • Maintain a record/lists of names addresses, telephone and facsimile numbers, electronic mail addresses, etc. for regular contacts of the Institute. • Prepare type written correspondences, documents, and reports for senior officers.
      • Create invoices, estimates, statements, reports, deposits, reconciliation of bank accounts, journal entries and write checks in Quick Books. • Proper filing of payment vouchers, bills, and invoices for customers and vendors • Pass on invoices/bills to Admin Clerk for data entry and payment • Complete TD4 forms for staff • Ensure credit card statements have supporting documents for transparency • Process Income Tax and Social Security for the staff • Prepare payroll and deductions • Undertake any other duties as required by the Institute that are consistent with the role of an Accounts Clerk, and which support of the objectives of the Coastal Zone Management Programs.
